We have made a special effort to provide you with good quality furnishings and hope that you will help us to keep the cottage looking its best for the enjoyment of all future guests who will be staying after you.

The price you have been quoted includes electricity, bed linen, tea towels, and a wood starter pack. We are pleased to provide a complimentary ‘welcome tray’ to help you unwind and relax when you first arrive. If we are resident at Mill Barn, we will greet you when you arrive and make you “at home”. Hopefully, we can help you in some way during your stay.

Please note that personal towels are not normally supplied, though we will provide them for a modest charge if requested when the final payment is made.

Your enjoyment and satisfaction of the cottage and surrounding area is very important to us. We want you to return again and again, and recommend Mill Cottage to your friends when you return home.

Bookings

These terms and conditions form a contract between Hartsop Mill Cottage Self Catering and yourselves (the guest), and by renting Mill Cottage, guests undertake to keep the property, furniture, fixtures and other items belonging to the cottage in the same state of repair and condition as found at the start of your rental period.

Payment

Please secure your holiday by sending a deposit of 25% (of the total cost) per week within 7 days of making the provisional booking, and the balance of the total cost by 28 days prior to the start of your holiday.

If you book within 28 days of the start of your holiday, the whole of the cost should accompany your booking.

If the balance is not received by the due date, regrettably, we will have to presume you have cancelled your booking and seek to re-let the cottage. Unfortunately, the deposit is not refundable in full.

For cancellations received 28 days or more prior to the commencement of your holiday, we regret that the deposit will be lost if we are unsuccessful in re-letting the period you had booked. However, if we are successful in re-letting, the deposit will be returned to you, less £30 per week administration and advertising fees, or the full amount held over as part of the deposit for a future booking.

For cancellations received less than 28 days before the commencement of your holiday, you will be liable for the full cost of the holiday, and no money will be returned. However we will do our best to re-let the period. Should we be successful, monies for periods we re-let will be returned, less an administration and advertising fee of £30 per week booked. Alternatively, the full amount will be held for a future booking, any surplus being returned in full.

We recommend strongly that you take out holiday insurance to cover yourselves in event of cancellation. The costs involved are low compared with the holiday cost.

Occupancy and departure

The change-over day is Sunday, and guests are requested not to arrive before 4.00 pm, and to leave by 10.00 am on the departure day.

The cottage is offered for rent only on the understanding that the maximum sleeping capacity is 3 adults and one young child (with one adult and the child sharing the small bedroom), or 2 adults and two young children (the children sharing the small bedroom).  Use of the settees in the main room for over-night sleeping is not permitted.  Also, the cottage may not be used by additional visitors, without prior agreement.  Smoking  in the cottage or grounds is not permitted, and  pets are not allowed  in the cottage or grounds. We reserve the right to refuse any booking, and to curtail or cancel any holiday if these conditions are not met.

Electricity, a wood starter pack, and provision of linen        These are included in the price. Towels are not normally provided.

Liability

Liability is not accepted for the injury, loss or damage to guests and their property, whilst staying at, or travelling to and from the cottage.

Guests are responsible for the safe keeping of the cottage. Therefore you must remember to lock doors, close windows and ensure the wood burning stove doors are latched and air vents closed when you are away from the cottage.

Guests must note and be warned that Mill Cottage has a low (5ft 5ins) doorway on the 1st floor leading into the living room, two slate steps from the entrance hallway to the lower hall and bedrooms, and a wooden staircase to the living room and kitchen on the 1st floor. Also, the garden slopes down to an unfenced mountain stream that rises quickly at times of heavy rain and may become dangerous, particularly for children.

Complaints

If you have reasonable grounds for complaint about the accommodation at Mill Cottage, please contact us immediately so that we can take appropriate action. Unfortunately, it is difficult to deal with matters after the completion of your stay.

Access

The property owners, their representative or Agent shall be allowed access to the holiday accommodation at any reasonable time for essential maintenance, etc. Whenever possible this would be by prior arrangement, and with minimum disruption to your use of the cottage.

Cancellation by Ourselves

In the unlikely event that we would need to cancel your holiday accommodation for reasons beyond our control, we will try to find you alternative self catering accommodation of a similar standard. If we fail in this or the alternative is unacceptable to you, we will repay all money paid by you for the holiday, and our liability would not extend beyond this refund.

In the rare event, if in our judgement, the property is (i) being badly used, putting the fabric of the building or contents at risk, or (ii) damage occurs to the property (inside or outside) or the contents of the cottage or items in the grounds, or (iii) if activities of guests offend or draw complaints from neighbours, we reserve the right to terminate the contract at short notice during the booked period of a stay, and curtail the holiday immediately. No refund will be paid if a stay if terminated.

Information

We will try to be helpful, but whilst every effort is made to ensure the accuracy of information given, both orally and written, all information and comments are given in good faith, and no such representation will create any liability on the part of the owners.

Damages, Breakages, etc.

If you unfortunately break an item, please report this to us as soon as it happens so that we can get the item(s) replaced in time for the arrival of the next guests. If we don’t have spare matching items, we may ask you to replace it /them with a near match.

Good housekeeping Deposit

For each of the Christmas and New Year bookings, we request a good-housekeeping deposit of £100 as a separate payment, due with the final payment 28 days or more beforehand, from which we reserve the right to deduct the cost of any missing inventory items, damage, breakages or additional cleaning. The residue of the deposits will be returned to you by post a few days after departure, following inspection of the property. We will be delighted if we can return the full amount.

No Smoking

Smoking is not permitted at Mill Cottage, including the grounds, and guests are asked to adhere strictly to this condition.

Pets

Sorry, pets are not allowed in the cottage or grounds.
